If there is one question that has been asked most often over the past year, it is "how do I add purchase data to bottles I already added to my cellar?" And for about months now I have sheepishly explained the several steps required to do this. Well, while I want to do a LOT more to simply the editing UI around inventory and purchase data, as of today I have finally made it fairly easy to go back and add purchase data to bottles already in your cellar. For any given wine, when you go to create a purchase, if you have inventory without attached purchase history, there is a new option to "Associate with existing inventory."

So the steps to handle this so common question are:
  1. Navigate to the wine in question.
  2. Click any of the link(s) to add a new purchase
  3. Choose the "associate with existing inventory" delivery option, pick the specific size/quantity, and fill in the rest of the purchase details.
If you are adding a purchase to a wine without 'dangling' inventory you will not even see this new option.

I hope to flesh this area out a lot more over the coming months, as it is probably the weakest area of usability on the site.

I've mistakenly added all my wine the 'wrong' way and now must go back and associate purchase price and place with my inventory.

Matt, there is no new update here, but if you follow the steps shown above it is trivial to retroactively add purchase data to existing inventory. The key is step 3.

Just registered and I have to say I love the site. I have a question about the value column in the My Cellar tab. What is the best way to get my purchase price to show up in that column when I enter the wine for the first time (rather than the community average valuation)?

Scott, alas, your purchase price is below the community value in the 'valuation cascade' as described here: http://www.cellartracker.com/valuefaq.asp

So the best you can do is to use the bulk valuation view to override your values to match your prices.

hi eric,

is there any way i can edit the store pulldown menu in the purchase section of CT? i ask because i have a misspelled store in that menu and want to delete it.

Yes, simply edit the purchase that has the misspelled store name. The easiest way to do this will be to look at our purchased grouped by Store:
http://www.cellartracker.com/list.asp?table=PurchaseStore

Then click on the misspelled store name to see the purchase(s). SHIFT-CLICK the wine glass icon to the left of each purchase to drill down to the purchase editing screen. Change the name either by picking from the dropdown list or typing a new name. Do this for all affected purchased updating as you go.

Once you are done, refreshing the drilldown for that store should be empty, and the offending name should be gone.

Sorry I missed this. Once you associate all existing bottles with a purchase, you can just edit an existing purchase or add a new one (which will create new bottles).

Something I just stumbled on when adding a new purchase associated with existing inventory is that it only gives the option of 750ml, even when the existing inventory is 350ml.
I went ahead and made the associated purchase and my inventory indeed got changed from 350ml to 750ml.
I was able work around the problem by then going back and editing my wine entry back to 350.

Hi.  Fantastic software.  Seems to me, as a fairly new user, that one improvement would be to add a "purchase price" column (or make it an option) in addition to the valuation column, and make it one of the fields in the screen where you enter the number of bottles after clicking on "Add wine to my cellar".  It would be cool to see, for each wine, the purchase price vs current value.  Calculation of the dollar value of the cellar could then use one of the valuation figures for each wine - preferably the WineBid number - but if no valuation is present, use the entered purchase price until one of the valuation amounts becomes available.  Your suggestion for a workaround is welcome but should not be the final solution.

Your transaction history is quite clear. You have never added a purchase. Rather, you are just adding valuations: http://www.cellartracker.com/list.asp?Table=Transactions&T=1000&iUserOverride=20363

Make sure, when you are on the page for a wine, that you click the link to add a new purchase.

Had two quick questions:
1) I live in a BAD state where they don't allow shipments.  As such, my wine ships to no less than 5 different locations. Is there any way on the "pending" page to sort my wine by the ship to location? Any plans to add that functionality?
2) Are there any plans to add sub total lines in the wine cost area for shipping, tax and total cost?

Eric,

I was just going to post this question.  There is a discussion on WinoDepot on this very topic and it seems that currently many users are adding their shipping and tax to the notes field while others are including it in their total price.  It would be fantastic if there were separate fields for bottle cost, tax, and shipping and then we could either enter in total cost of the software could add it up automatically.  Even better would be to be able to choose whether we see total cost OR bottle cost next to the valuation in the Display Options.

Any thoughts on if and when you might work on such a feature?  Also, if you get a second to reply on the winodepot forum that would be great.  Thanks for all of your hard work on this fabulous software!!

It's an interesting question at least.  Some sites (e.g. woot.com) that have flat-rate shipping almost certainly subsidize their shipping price in the per-bottle cost.  Other sites that don't have a B&M presence SHOULD include any s/h charges since the per-bottle price advertised w/o s/h isn't representative of the actual cost someone could buy the bottle for.  Then there are winery-direct sales where the listed price *IS* accurate to what you'd pay if you walked into the winery & made a purchase, so maybe s/h should NOT be counted for those purchases.

Long story short, I don't know that having the options increases data integrity with regard to valuation.

2006 Torbreck Shiraz Woodcutter's Hi added this wine today, but i did not get the price right, its not 14.995 kr, it should have been 149,95 kr

Remove  Personal valuation: 750ml @ kr 14.995,00
How do i change that ?

Did you mess up price, valuation or both? Did you add a purchase or just add bottles w/out purchase data and then a valuation?

Anyway, assuming you are on the page for a wine, just to the left of that "Personal valuation" is a hyperlink to "edit..." You should click on that...
Also on the page for a wine, next to each purchase, is a hyperlink to edit... Again, just click that to edit a purchase.

In general, throughout the entire site, this is the metaphor for editing pretty much anything.
