Documentation on the is pretty bare, so here are the top things to understand…
  • The core data on the site about which I am very, very anal are the actual definitions of the wines. The power of the site is in describing these accurately and in a way that is shared across all the users. When you click on the link in the upper left to Add Wine, that launches you into a little wizard where you pick/add your producer and then choose from current wines or add new ones.
  • If you have an existing spreadsheet, database or data in a cellar management program, please read about the BULK IMPORT TOOL.
  • Once you have the wine definition, you can start hanging lots of your own data off of it:
    • Inventory: All counts on the site are derived from rows in the Inventory table, one per bottle. Each bottle can have an associated size, location (Cellar, Seattle Wine Storage, Kitchen Fridge etc) as well as a detailed bin location (case #12, r1c12 etc.) Inventory can also have an associated purchase, so that you can tell where you sourced the bottle, especially if you ever buy the same wine at different times, prices and from different sources.
    • Purchases: these are optional, but they are great to have. If you have purchase data the best thing to do is add the purchase, and then as part of that screen you can also have the wine added to inventory automatically. For pending future purchases (from a website etc), there is an option to mark the purchase as not delivered, and then there is a nice list (click Pending Deliveries on the left) to see all of these pending purchases. When you do get the wine it is just a few clicks to add them to inventory from this view.
    • Tasting notes: Please type ‘em in, share, we all want to see what you think of a wine! In fact, that is the WHOLE point of this thing for me. If you enter your notes into the site, you can search them, select them and easily even publish individually or in batch to various wine bulletin boards. The site also contains links to filter the notes to just show notes from other users on wines currently in your cellar.
    • Consumption history: The site provides you with an editable history of the bottles you have consumed, gifted, bought from a restaurant wine list, returned as defective, sold or traded etc.
    • Personal data: You can also add a private note (gifted to Fred, he hated it), valuation (good for insurance purposes) and private drinking window.
    • Professional reviews: Each user can copy & paste reviews to which they want to refer to later. For copyright reasons, these are for the personal use of each user and not shared across the site.

  • And of course, then you can start running lots of cool reports. There are too many to list, and I will be adding many more, all geared to helping you find the right bottles to drink now and to let the ones rest that need it.
  • And there is lotsa other cool stuff: Custom barcoded labels so that you can identify every single bottle; a view tailored for your Blackberry or web-enabled cellphone (www.cellartracker.com/phone); a built in bulletin board so that you can ask questions and interact with other users; use Excel web-queries to suck your data down and do your own reports, pivots, charts, rudimentary backup etc.

Pat Lee put together some excellent documentation for how to get rolling on the site which you can see in the next reply.

Introduction to the CellarTracker User Interface

The CellarTracker user inferface has three main areas:

1) Menu Bar
2) Home Page
3) Task Bar

CellarTracker Menu Bar
The menu bar at the top of the home page and all CellarTracker pages allows you to quickly get to information on your cellar quickly.

Home – Allows you to quickly enter your cellar from a previous spreadsheet or database.
My Cellar – Shows the contents of your cellar.
Tasting Notes - Shows the last thousand tasting notes from all CellarTracker users.
Reports - Allows you to view your view your cellar from my different points of view.
Users - A list of all CellarTracker users listed by most recent access.

CellarTracker Home Page
The CellarTracker home page is the main interaction point with CellarTracker. In addition to showing the few bottles you have entered and consumed, it shows the last few tasting notes your have written and most recent tasting notes from other CellarTracker users on wines currently in your cellar.

The tools available from the CellarTracker home page are listed below:

Common Tasks
Bulk import an existing spreadsheet – Allows you to quickly enter your cellar from a previous spreadsheet or database.
Add wine to my cellar – Add new wines to your cellar.
Add a tasting note - Add a tasting note for a wine you have tasted.
Print a wine list - Print a restaurant like wine list for your cellar.
Download to Microsoft Excel - Create an offline copy of your cellar. See details later in this post.
Check my pending deliveries – Lists your pending deliveries and futures orders.
Add professional reviews - Lists wines in your cellar where other users have entered professional reviews. You can use this list to search for and add these reviews to your cellar if you have a subscription to the service in question.
Update drinking windows - Allows you to easily enter personal drinking windows for your cellar.
Add Valuations - An easy way to add a personal valuation for some or all your wines.
Print Barcode Labels – Print barcode labels to allow easy tracking of your cellar. All users can print Avery labels to any printer or Microsoft Windows users can print directly to Dymo label printers. See the Printing Barcode Labels FAQ for more details.
Scan Barcode Labels – Allows quick removal of wines from your cellar by entering CellarTracker barcodes.

Tagged Lists
Created lists to allow you to track wines you want to sell, take to parties, give away as gifts, or any other specific list you need to track regarding your wine collection.

Other Areas
My Profile – Change your CellarTracker preferences including wines listed per page and default store for new purchases.
Donation History – Make a payment to support ongoing development and support of CellarTracker.
Manage Subscriptions – Current online subscribers of Stephen Tanzer's International Wine Cellar and of WineBid.com can get direct access to this information for their wines in CellarTracker.
User Forum – Access CellarTracker's user forum to see how others are using CellarTracker or to ask questions.

CellarTracker Task Bar
The task bar on the left hand side of the screen provides quick access to key functions when viewing your cellar or adding or editing a specific wine. Many of the common tasks were already discussed in the Home Page section. See belows for ones not mentioned above.

Home Page Common Tasks
View my wish list – View list of wines you are considering for future purchases or potential gifts from others.
Drinkability – Lists the wine you should drink today based a number of criteria including the professional review drink by data and amount of bottles in your cellar.

Home Page Display Options
Hide Prices – Allows way to hide wine prices when showing your cellar to others.

Make sure to look at CellarTracker's task bar when editing wines for quick access to key features including searching review sites for the wine in question, adding to a wish list, show others wines from this producer to allow easier entry of multiple purchases, and many other tasks.


Tracking your wine with CellarTracker

Entering your cellar into CellarTracker can initially be a time consuming task, but a little preparation can go a long way in making it easier and more importantly quicker.

It is important to understand that CellarTracker makes a clear distinction between purchases and your inventory of wine. However, CellarTracker makes it is easy to enter both a purchase and add it to your inventory in a single step.

Before starting, if you have any existing information on your wine cellar, it would be helpful to have that information available along with any purchase information you would like to track.

If you have been tracking your wine collection in an Excel spreadsheet or other database. You can use export your existing data to an Excel spreadsheet in a format that CellarTracker can then import directly. See the bulk import FAQ for more information.


Entering a wine into your CellarTracker inventory…
  1. Click “Add wine to my cellar” in Common Tasks.
  2. Enter the producer or wine you want to enter into CellarTracker and click “Search” to search the database for that producer or wine. To limit your search to wine producer’s name only, select “Producer name” before clicking Search.
    • If the wine producer exists, CellarTracker will display the list of known producers that match your request. Select the producer you want and click on it to get a list of all known wines in CellarTracker by that producer.
      • If the wine you want exists in CellarTracker already exists in the vintage you want to enter, select the vintage and wine.
      • To add a different vintage of a known wine or a different wine based on a known wine, click “Add New Vintage or Wine Based on this…” for a wine. Make any necessary changes such as vintage or varietal and click “Click to Add New Wine.” For more information on this screen, see “Entering a new wine producer and wine into CellarTracker…”
    • If the wine producer does not exist, see “Entering a new wine producer and wine into CellarTracker…” for how to proceed.
  3. Go down to Purchase Information and “click here to add a new purchase…”
  4. Enter the number of bottles (quantity) of your purchase, bottle size, store, price, order notes, and any other information you wish to track. NOTE: To enter a new store, type it in the "add new store" text field next to the store combo box.
    • If the wine entered is in your cellar, just click “Add New Purchase” to add the wine to your inventory.
    • If the wine entered is a futures purchase or you haven’t taken delivery yet, select “Delivery is still pending” in the Delivery section and then click “Add New Purchase”.
  5. The wine is now added to your current inventory or pending purchases.
  6. To add another vintage of the same wine to your cellar, go to the Other Vintages section in the task bar and select the vintage if listed or select new vintage to add a new vintage of the same wine to your cellar.

Entering a new wine producer and wine into your CellarTracker inventory…
  1. If your search for a wine producer was not found in CellarTracker, click “CLICK HERE to create an ENTIRELY NEW WINE.”
  2. CellarTracker will bring up the Edit Wine Information screen to let you enter the wine in question.
  3. There are a number of fields to enter, but luckily the online help is very good for each field. However, let’s walk through entering a wine to show you what goes where. Though it is already in CellarTracker, this is how you would enter the 2001 Amphora Jacob’s Ridge Cabernet Sauvignon from Mounts Vineyard in Dry Creek Valley.
    a. Type – Red
    b. Vintage – 2001
    c. Producer – Amphora
    d. Varietal – Cabernet Sauvignon
    e. Designation – Jacob’s Ridge
    f. Vineyard – Mounts Vineyard
    g. Country – United States
    h. Region – California
    i. SubRegion – Sonoma County
    j. Appellation – Dry Creek Valley
    k. Options – Use this to set how the vineyard name is displayed for example
    l. UPC Code – Leave blank if it doesn’t exist or you don’t care to track it.
  4. You have now entered a new wine into CellarTracker! To add it to your inventory, go to Purchase Information and click the “click here to add a new purchase…” link
  5. Enter the number of bottles (quantity) of your purchase, bottle size, store, price, and any other information you wish to track. NOTE: To enter a new store, type it in the field below the combo box.
    • If the wine entered is in your cellar, just click “Add New Purchase” to add the wine to your inventory.
    • If the wine entered is a futures purchase or you haven’t taken delivery yet, select “Delivery is still pending” in the Delivery section and then click “Add New Purchase”.
  6. The wine is now added to your current inventory or pending purchases.
  7. To add another vintage of the same wine to your cellar, go to the Other Vintages section in the task bar and select the vintage if listed or select new vintage to add a new vintage of the same wine to your cellar.

Entering a wine where you do NOT want to track purchase information in your CellarTracker inventory…
  1. Click “Add wine to my cellar” in Common Tasks from the CellarTracker's Home page or task bar.
  2. Enter the producer of the wine you want to enter and click “Producer Name” to search the database for that producer.
  3. If the wine producer exists, CellarTracker will display the list of known wines.
  4. If the wine you want to enter into CellarTracker already exists and in the vintage you care about, select the vintage and wine.
  5. Go to My Inventory and click “click here to edit MY inventory…”
  6. Select Add and enter the bottle size, quantity, and location. Click “Update and Done” to add the wine to your inventory.

Deleting a wine from your CellarTracker inventory (e.g. drinking a bottle)….
  1. Select the wine to delete from inventory and bring up the wine summary page.
  2. In the wine summary window, go to the “My Inventory” section and click the D next to the bottles in inventory.
    • Select the specific bottle by barcode or purchase or take the default bottle chosen to remove from inventory.
    • If you just drank the bottle and want to remove it from inventory, select "Drank from my cellar" under Track Consumption Data. Also, CellarTracker can help you track a return, sale or trade, gift, or purchase at a restaurant for this bottle. Select the appropriate choice for this bottle.
    • To add a tasting note for this bottle, enter the note and an optional corresponding score.
    • To remove the wine from inventory, click “Consume This Bottle”.

Adding a Professional Review…
  1. Select the wine to bring up the wine summary page.
  2. Go to Professional Tasting History and “Click here to manually add a new professional (copyrighted) review...”
  3. To view a professional review from Wine Advocate, International Wine Cellar (IWC) or Wine Spectator (assuming you have a valid subscription to the desired service), click WA, WS, or IWC and CellarTracker submits a search for the wine in question to find the review. If you want to enter a BurgHound, Purple Pages, or other publication review, obtain the review in question.
  4. Select the main text of the review and copy it onto the clipboard.
  5. Paste the review text into the main body of the professional review and enter the other information including the score, reviewer, and publication. To enter a BurgHound, Purple Pages, or other review, you will need to manually enter the publication and review the first time by typing the publication and reviewer into the text field below the combo boxes. CellarTracker will remember new publications and reviewers for future use. For Wine Advocate and International Wine Advocate reviews, you can copy and paste the URL of the review into the web page section to link back to the review later. Web links to Wine Spectator reviews are not supported, as they too long to enter into CellarTracker.
  6. Click “Add Review” to submit the review and return to the wine summary page.

Adding a personal tasting note…
  1. Select the wine to add a tasting note and click it to bring up the wine summary page.
  2. Click "Add a tasting note" under Tasks (this wine) on CellarTracker's task bar
  3. Add your review, date, and score and click “Add Tasting Note” to add your personal tasting note to be viewed by you and the rest of the CellarTracker community.

Printing Barcode Labels for your Cellar
CellarTracker can give you complete control over each bottle in your cellar by printing barcoded labels to Avery labels or a label printer to help you more easily track each bottle individually.

CellarTracker Reporting Options

Click Reports in CellarTracker's menu bar to access the CellarTracker's vast reporting capabilities.

My Cellar
All Wines – Lists every wine in your cellar.
Single bottles – Lists every individual bottle in your cellar.
Region – Shows a breakdown of your cellar by region including cost paid.
Producer – Shows a breakdown of your cellar by producer including cost.
Varietal – Shows a breakdown of your cellar by varietal including cost.
Type – Shows a breakdown of your cellar by type (red, white, dessert) including cost.
Vintage – Shows a breakdown of your cellar by vintage including cost.
Storage location – Lists the contents of your cellar(s) by location whether local or offsite storage for example.
Bottle size – Lists the contents of your cellar by bottle size (375 ml, 750 ml, 1.5 L, 3.0 L).
Readiness to drink – Lists the wine you should drink today based a number of criteria including the professional review drink by data and amount of bottles in your cellar.
Time to drink up – Lists wine by drink date, either entered by IWC, WA, WS, or your personal drink by date.
Custom summary... – Create a custom report based on your choices.

Tasting Notes
My notes – Lists all your tasting notes for easy access to posting your notes to the Squires bulletin board (eRobertParker) or other wine boards.
My private notes – Lists all your private notes where you may track purchase info or gifting notes for example.
Community notes – Lists all CellarTracker's user tasting notes.
About my wine – Lists all CellarTracker user's tasting notes on wines in your cellar. A great way to get another opinion on that wine you really want to try tonight.
Tasting Events – Tasting notes that chronicle complete tastings or special events.
My Private Notes – Lists personal notes you have added to wines. These are not shared across users.
Notes over time – Lists all your tasting notes over time. A good way to see how your tastes have changed.
Notes by region – Lists all your tasting notes by region.
Custom summary... – Create a custom report based on your choices.

In addition to these reports, there are similar reports for your purchases and consumption broken down by many categories.

Finally, there are some great community based reports to see how CellarTracker community purchases wines or wines they are looking to purchase from their wish lists.

Make an offline copy of your cellar with Microsoft Excel
Now that you have spent all the time entering your CellarTracker, you may want to have an offline copy to keep on your PDA or your laptop when traveling.

Microsoft Excel (Windows and Mac OS X) has an excellent feature called web queries that allows Excel to query a web site and download specially formatted pages to an Excel spreadsheet. This spreadsheet can be updated anytime you like with the click of a button to keep current.

Windows Requirements:
• Excel 2000 or later

Macintosh Requirements:
• Mac OS X
• Excel 2004
-NOTE: Excel v.X has problems with large web queries that can be seen with CellarTracker web queries with over 200 bottles in the cellar. If you have a larger cellar, see Excel v.X for Mac OS X workaround to manually create and update your cellar worksheets.

To create an offline copy of your cellar data
  1. Download the CellarTracker webquery example spreadsheet by clicking "Download to Microsoft Excel" from Common Tasks from CellarTracker's Home page or Task bar.
  2. Open the CellarTracker webquery.xls example spreadsheet
  3. On the Login worksheet, enter your login name and password
  4. If the External Data toolbar is not visible, enable it from View>Toolbars>External Data.
  5. Click Refresh Data on the External Data toolbar and Excel will now download your cellar data to the spreadsheet.
  6. Click Save to finish creating the offline copy of your cellar data.

Excel v.X for Mac OS X Workaround
Excel v.X does not handle large web queries well, so you will need to manually copy and paste web queries from a supported web browser into an Excel v.X worksheet.

Requirements:
• Excel v.X
• Supported Browsers: Internet Explorer 5.2 or later, Firefox 1.0 or later, Camino 0.8 or later
NOTE: Safari is NOT SUPPORTED due to text handling issues with tabs

To create an offline copy of your cellar Excel v.X for Mac OS X
  1. Launch a supported web browser (Safari will NOT work)
  2. Enter the desired URL for your query (see Creating and Editing CellarTracker Web Queries below) with your login and password
  3. Once the web page loads, do a Select All (command A) and Copy (command C) all the contents of the query.
  4. Launch Excel and open an existing or create a new worksheet
  5. In a new worksheet, do a Paste (command V) to insert the previously copied web page
  6. Excel will paste the tab-delimited contents correctly into columns as desired. Save the worksheet.

Creating and Editing the CellarTracker Web Queries with Excel for Mac OS X

Unlike Excel for Windows, Excel for Mac OS X does not allow you to edit an existing web query embedded in a spreadsheet such as the CellarTracker example spreadsheet. If you wish to create or edit your own CellarTracker web queries, you can download the free Web Table Report tool from the University of Buffalo that offers an easy way to create and edit Excel web queries with Excel for Mac OS X.

I have just started using CT (after a mere 15 mos. of membership - sorry!) and was wondering if this thread on "getting started" is still current and accurate, or if I should look for another one.  Thanks.

Bill, I am going to jump in here and say "yes" for Eric.  I just added about 1200 bottles of wine and most of my questions got answered by reading here and just trying some things.  -keo aka FogCity

Eric,

Congratulations on a great website and product, one of the best things I've found on the web in a long time.  Have been adding wine this week and having made a few 'mistakes' found most of the issues covered here!

If I may be so bold being such a novice and make a couple of suggestions?
It would be good if there was the option to choose the currency for the value of the wine. I'm sure I'm not the only user who buys wine from around the world, especially when travelling.
I've also found it difficult to add and edit an event, which is a great feature I can see myself using more.

Minor requests really as the website is amazing.  Have so far passed on the link to my wine buying and drinking friends in HK and will continue to explore more of it's features: have kept away from the barcodes at the moment but have a feeling I'll be borrowing a scanner from work soon!

Although I have been registered for some months I just entered the first part of my cellar into your site with the announcement of IWC's involvement and endorsement.  I have found it relatively easy to enter multiple vintages of wines and have completed Port / Sauterne / Bordeaux with Burgundy / Rhone / California / Australia to go.  While initially time consuming (and hard on the shoulders), I can see how it will be easy to update as wines are consumed or added to the cellar. 
 
One nit pick (which may still be possible - I'm still exploring) is the ability to display my cellar as I do on my own home made spread sheet - listed by area (as listed above) / by producer within an area / in vintage order (oldest to most recent).  Is this multiple organization possible within the site?  
 
Thanks for your input.  I am very impressed with the site and look forward to using it.

Right now there is no way to save an arbitrary query as your server side home page. However, there is an easy workaround. Just save your view as a favorite in your browser and use that link to access the site.

This is a unique and powerful idea for a wine-oriented web site to attact fellow wine-lovers and collectors. kudos on the concept. Viral marketing at its ultimate for an extremely vertical audience (pun intended!).
Typo found in instructions: "Make and offline copy of your cellar data with Microsoft Excel" should be "...an..." instead of "...and..."
I apologize if this is taken as being critical, just trying to help.

I could not find any instructions for uploading a database into wine tracker. I use Excel and have thousands of bottles in my cellar and tens of thousands of tasting notes. I've spent decades getting and keeping this organized and its too daunting to enter this one wine at a time. I will enjoy the rest of the site and the people who contribute though.

Joe, I am working on a bulk import facility that I hope to have widely available in the next 4-6 weeks. It will still involve some work to match your wines to the existing ones in the database, but it should make the task of importing your notes and cellar data far, far more efficient. Hang in there for a few weeks, and I will let you know when it is ready.

I just started using CellarTracker and have a question regarding location management. I entered Racks 1 thru 20 for my cellar and when I ask for a location report it lists 1 then 10, 11, then 2,3,4 etc. Am I doing something wrong?

Scott, both the Location and Bin fields are actually strings and not numbers, so that means that computer tend to sort them somewhat stupidly. If you want to use the Location field for this, add 0 in front of the first 9 bins to get things to sort well. (You can do bulk updates from here: http://www.cellartracker.com/list.asp?Table=Inventory)

Alternatively, the Bin field actually does have special support to get it to sort right, as that is the field that people most commonly use for numeric values. (Usually people use the Location for "Cellar", "Offsite", "Kitchen" etc.)

That would be cool and is something I have brainstormed with the WineBid folks. However, at this point the only integration with WineBid is to be able to show average selling prices for wines per this FAQ.

THANKS for this site Eric... It made my day when I discovered it and it has really helped me do what I needed to do with my collection but never quite got there til now. A quick question that I didn't find the answer to on the board. Once I have entered a bottle without an associated purchase price - I don't seem to find a way to edit that particular data. I suppose I could delete the bottle and enter it again but that seems a bit clutzy. Am I right that that is the only work around?

Any thoughts on having wine pairing capabilities?  Perhaps key foods as an additional field in the public tasting notes section that could be searched for matches within your wine cellar.

Hi Eric,

I think you program is world class! I just have a couple of queries.
  1. I am conducting a '98 tasting later this year. I see that a number of users have been able to setup a 'tasting event' wich comes up each time a featured wine is accessed. How do I do this?
  2. Is there any way I can 'flag' these wines in my cellar prior to the tasting?

Tony,

To create a tasting event, first you browse to the wines in question and add tasting notes. Pay special attention to the dates on the notes (the default is today's date). Once you have added your notes, then click TASTING NOTES at the top of the screen, and at the left there is a link to CREATE A NEW TASTING EVENT. You give it a name, optional location, and a date or range of dates. Then on the next screen it shows you all of the notes that have been written by you in that date range. You can then add the notes, order them, assign them to specific flights etc. When you are done, then you can also add per-flight commentary, titles etc.

To flag a wine, just click the icon on the wine page that looks like a finger with a string tied around it. The default 'tagged list' is your wishlist, but you can create a specific list for the tasting and make it public or private, add notes per-wine or to the list as a whole.

I should point out that anyone can tag a wine, add a note etc, regardless of whether the wine is actually in their cellar.

How do you print a wine list the INCLUDES wines that has 0 in stock ( this is good for a wine shopping list)

There is no way to do this from the printed reports right now. You can however generate a report like this on the main site and then print that out.
