Dear Eric & Craig,

It is now easy to see the growing response and interest for 9/5-6.  Although we have options for accomodating the large group on Saturday, our space is limited on Friday at Eric's.  How will you decide whom to exclude?  There could easily be 100 of us coming from out of state that would fill Eric's house on top of the locals.
Eric, would you consider a second night in the future for the Seattle locals so that us out-of-towners get priority for the 5th?

Robert,
Eric has talked of giving out of towners some priority in the event of space issues, but we are hoping that won't be necessary.  I would say that the response to the event (s) has been modest so far considering the number of CT users.  And so far there are not that many coming from afar--perhaps it is just taking them a little longer to work out their travel plans.  However, we definitely have enough even now for a great event, and I expect more will trickle in in the coming days.

Are you guys thinking of seating folks at tables, or just having everyone casually milling around?  I understand seats might be provided for the weary, but isn't the general thinking more around a buffet style thing?  I'm still waffling about booking a flight, so would love to know what's in store.

I think it will be more on the casual side.  It is unlikely we will seat people at tables though as you say, some will be available for the "weary."  The Uptown Hideaway will also likely have bar style small round tables where one can stand around, chat and eat, drink, and be merry.  The food will be buffet style, wine friendly, and will be available throughout the evening.  There will be plenty of Pellegrino for hydration and 2 different desserts.  The menu has been nailed down at this point and I suppose I could post it if you wish (can do tomorrow).  There is a sound system which is iPod compatible so I am putting together a great jazz playlist from my collection for background muzak.  I envision the wines to be at various tables organized in some fashion so that there is some semblance of order in the chaos.  If we do some sort of connection with the London group, I'll need someone to volunteer to take that on since I know nothing about that sort of thing.

By the way, we hope that some of you choose to bring some bottles of white wine and/or sparkly so that we may have some sort of progression and variety to our night.  We are asking you to bring a bottle per person of your choosing worthy of such an event--the quality and variety will be up to your collective wisdom, taste, and generosity   Other than the guidelines above we don't want to make any other restrictions.  If you wish to tell me ahead of time what you will bring, I will make a list and see how I may organize it all, but I certainly do not expect it.  Just send me a PM if you choose to do this.

One other note, for those of you who have posted a reply to the event(s), I am keeping a tally.  If I am unclear as to whether you are bringing a spouse, guest, etc., I may send you a PM to clarify.  Formal registration and payment for the event will be in the near future, but Eric will be able to give you more detail about that at a later date.  For now, we just need an idea of numbers.

I'm concerned about cooking any wine I bring from Texas even in September..  I'd perfer to pay more for the events and have you guys provide the wine for me. 

Say charge me $500 extra for my wife and me and you provide wine for us...

Wow, this thread has woken up a bit... A few quick thoughts, hopefully not conflicting with Craig who is doing a wonderful job of helping this to crystallize...
  1. Certainly anyone who has footed the cost to travel to Seattle from a remote place is going to have first dibs on a Friday event at my house. As some note, if the local natives are restless as a result I will just have to host another event for locals at a different time. Anyway, once we get a better sense of the true numbers it will be a lot easier to make good decisions that are as inclusive as possible.
  2. As Craig says, this is likely to be more of a "mill around" than a sit-down type of event. Just imagine, hundreds of wino, each clutching their prized bottle like a baby, wandering about and trading sips with like-minded winos. Sounds like chaos and fun!
  3. On traveling with wine, I rue the assoholic terrorists who have caused the rules to be amped up around flying with liquids. That said, a few bottles wrapped in plastic and then sweatshirts or towels works perfectly fine in a hard-sided, checked bag. And even if that bag sits on the tarmac and gets a bit warm you just can't do that much short-term damage. Of course, if a bottle really gets up to 100 degrees the cork will pop out... Really should not happen though even if you are coming from very warm climes. Due to liability, headaches etc I just don't want to get into buying/holding bottles for people. That said, if it will help, there are numerous EXCELLENT wine shops in Seattle that I am sure would be willing to help out and *maybe* even deliver to the event? My top pick is always McCarthy & Schiering in Queen Anne, just a few blocks from my house, terrific people.
  4. As Craig notes, if we stay in the neighborhood of 100-150 then this will all be pretty easy. If it starts to get a lot bigger then either we may need to rethink some aspects (venue, cap the size of both events?). Either way, we want to be fair and inclusive.
  5. At least one supplied of barcode scanners has expressed interest in doing a demo and perhaps raffle/drawing for a free scanner and/or special discounted offer. An interesting commercial vector that I hadn't considered. I am sure we will learn a lot from this first, small event that will give us ideas for how to scale it up for the future. But for this first one we are trying not to overthink things...

This is taking shape pretty quickly, although I have no idea if this will be 50 people or 500. Here is what we know for sure:

I'm thinking about Ward Johnson and Chatter Creek... There are many others. Let me know what I can do.

To me, at least, you seem to have gotten the spirit of the thing just right.  If I finally take the plunge (see prior post about hating to fly) I will be happy to bring white wine and bubbly, even dessert wine, as most people seem to favor/collect/drink reds. 

Who are those people?

P.S.  rjonas, if I do come, we'll "talk Turley".

P.P.S. Fair warning, if only one person brings bubbly, it will be gone in about 5 seconds.

(I went to a trade tasting once where they were pouring the "Winston Churchill" at one of the first tables.  You should have seen the mob!  The good news: although I practically lost my limbs trying to get to the Champagne, I still have the fridge magnets from that event.)

Hi Eric!
Joan and I are in for the "not at your house" event.

For those folks who are loathe to fly with a bottle, I'm willing to trade/bring a bottle on your behalf, or whatever, (up to a limit ). As Eric said, one day of moderate warmth won't kill most wines.

Well if you can stand one more Texan, I will be there for both nights.  Plano on coming up on Wednesday afternoon and return on Monday.  I will be staying with a nephew unless he refuses to give me his address.  Looking forward to meeting all of you. 

Oh, and if any of you locals want to make some restaurant recommendations for the other nights I am in town, I would greatly appreciate it.  I like restaurants with great food and a reasonably priced wine list (multiples) or a BYOB.  Thanks.

I know you are focused on the September CT weekend, but when you mentiuoned the 5 year anniversary celebration I could not get this idea out of my head:

I've been on CT for 3 or 4 years. At # 2038, I guess I'm an early adopter.  Anyway, you.ve created a monster with CT, and I expect it will continue to grow for many years.  My idea for the 5th anniversary is a CellarTracker charity wine auction.  This would be an annual event (and the auction may be the feature event of the annual CT winopalloza).

My thoughts on a new concept.  First, wine to be auctiuoned come from CT members only.  Straight from the CTcellars.  Limit to say 100 lots.  Members whose lots are accepted get free lifetime membership. On the charity, Eric, you pick your favorite charity.  (Later, member polls might be used to determine the charity, but I like the idea of a relationship with one charity that is important to you.)

I have enjoyed CT so much, and would very much like to give back some of my good fortune through this amazing organization.  I would have no problem with a lot that should go $5 to $10 thousand.  I would be priviledged.

Ultimately, this annual event could rival any charitable auction, and it would say a lot about the kindness and generosity of Eric LeVine (who is an amazingly generous person) and the Cellartracker family.

This is a fine idea! Perhaps we could have an organizational meeting  for those interested in creating this event on the same weekend....
